Vice President of Finance & Administration

We’re hiring! The Springfield Chamber is looking for a Vice President of Finance & Administration to help lead the financial stewardship of our organization. Position Summary: The Vice President of Finance & Administration is responsible for maintaining accurate financial records and accounting operations, as well as managing the Chamber building and its core administrative functions. This role reports to the Executive Vice President and serves as a member of the leadership team.


Job Description:

· Perform accounting activities in compliance with Generally Accepted Accounting Principles (GAAP).

· Oversee accounts payable, accounts receivable, general ledger, and monthly membership billing functions to ensure accurate and complete financial records.

· Provide leadership in financial strategy, advising the President and Executive Vice President through forecasting, scenario analysis, and long-range financial planning.

· Lead the Chamber’s annual budgeting process and support budget development for its subsidiary, including facility, technology, and administrative expenses.

· Prepare and review monthly financial statements for staff and the board of directors, working across departments to maintain effective internal control systems.

· Serve as primary contact for outsourced payroll services and provide backup coordination for outsourced HR functions related to payroll, benefits, and 401(k) administration.

· Coordinate required governmental reporting prepared by outside professionals, including annual IRS Form 990 organizer worksheets.

· Lead organization-wide procurement and RFP processes, making vendor recommendations in collaboration with the President and Executive Vice President.

· Work with contracted auditors on all aspects of the annual audit.

· Coordinate and manage commercial insurance coverage through an insurance broker.

· Manage all facility needs, including vendor coordination and issue resolution, working with contracted cleaning, maintenance, building services, and landscaping providers.

· Oversee staff responsible for front desk coverage and purchasing office and hospitality supplies.

· Oversee staff and vendors responsible for meeting the Chamber’s research, data and technology needs, including budgeted equipment purchases, maintenance, and software subscriptions.


Supervisory Role:

This key role manages staff in receptionist and research/IT analyst positions, including performance management, coaching, and professional development.


Education, Experience and Skills Required:

· Bachelor’s degree in accounting or related field required; master’s degree or CPA designation preferred.

· Knowledge of payroll processes and payroll tax requirements.

· Experience presenting financial information to senior leadership and boards of directors.

· Ability to work effectively in a team environment with a diverse group of staff, members, volunteers, and community partners.

· Demonstrated ability to identify and resolve problems in a timely manner by gathering and analyzing information.

· Strong written and verbal communication skills.

· Effective planning, organizational, and time management skills.

· Proficiency with Microsoft Office Suite, accounting software, and CRM systems.
