Office Manager

As Office Manager, you’ll be an integral part of the operations team, overseeing day-to-day office logistics, supporting internal communication, and keeping people and processes aligned. You'll work closely with the Vice President of Finance & Administration to ensure administrative and accounting functions are efficient, accurate, and strategic. The ideal candidate is highly organized, solution-oriented, and flexible, with a talent for anticipating needs and juggling priorities with calm and confidence.

Key Responsibilities:
Office Management
Oversee daily office operations, continuously evaluating and improving procedures to optimize efficiency and ensure a positive, innovative atmosphere.
Manage office supply inventory and coordinate maintenance of equipment and systems.
Serve as the primary point of contact for vendors, suppliers, and service providers.
Lead office-wide sustainability initiatives and monitor related practices.
Administrative & Finance Support
Assist with general accounting, including creating and sending invoices, managing accounts receivable, and tracking office expenses.
Help facilitate event planning and logistics for meetings, staff trainings, and special events.
Maintain accurate, organized records and filing systems, both digital and physical.
Identify and implement new technologies that enhance productivity and streamline workflows.
Organizational Coordination
Serve as a key liaison between departments, ensuring effective internal communication and collaboration that promotes an engaged workplace culture.
Oversee support and training for all staff within the Customer Relationship Management (CRM) system.
Coordinate annual updates to internal policies and ensure compliance with organizational practices across departments.
Oversee documentation and reporting requirements for Destinations International accreditation (annual and six-year processes).
Qualifications:
Proven experience as an Office Manager, Administrator, Coordinator, or similar role.
Ability to think strategically while managing day-to-day operations with an eye for detail and excellence.
Demonstrable knowledge of financial systems, including standard accounting and budgeting processes.
Exceptional organizational, written, and verbal communication skills.
Team-oriented with the ability to collaborate and contribute to team discussions and decisions.
