Job Summary: The primary responsibility of the HR & Administrative Services Assistant is to assist with the financial & human resources operations of Ozarks Food Harvest with a high level of accuracy and confidentiality.

Duties & Responsibilities:

• Deposits: Responsible for deposits including 10 keying checks, scanning checks via desk top scanner to bank, running reports and entering deposits into monthly deposit spreadsheet. Serve as liaison between the Business Office and other departments to ensure deposit coding accuracy. Ensure the security of all cash and checks received.

• Front desk: Provide coverage at the front desk in Receptionist’s absence.

• Mail: Sort, open and distribute mail with receptionist daily.

• Donations: Assist with donation entry to ensure donations are entered in a timely manner using FIFO method. Monitor direct mail coupons, shredding when process is complete under Director’s direction. Work closely with Development.

• Accounts Receivable: Assist with posting agency payments/adjustments and monitoring for past due accounts and credit limits. Reconcile GL codes with credit card bank statements via Balance Track software.

• Accounts Payable: Balance monthly company credit card statements. Cross-train with HR & Administrative Services Coordinator to provide backup preparing and processing payments in the accounting software with direction from management. Maintain vendor records, acquire Form W-9 requests from all vendors and contact those who do not comply.

• Human Resources: Assist Human Resources Coordinator with administrative duties as needed including maintaining DOT driver files and monitor annual renewal of documents to ensure DOT compliance in the JJ Keller Encompass portal.

• Supplies & Food: Responsible for monitoring the cleanliness of main conference room and refrigerator. Order board meeting and other event meals.

• Perform other duties as assigned.


SKILLS/EDUCATION/EXPERIENCE:

• One to two years of related working experience.

High school diploma or equivalent.

Must be detail oriented and maintain a high level of confidentiality and accuracy.

Excellent oral and written communication skills are mandatory.

Working knowledge of Microsoft Office products in a Windows environment. Proficient with Excel and Word.

Ability to multi-task in a fast-paced environment during high volume periods.

Ability to take constructive criticism and direction from management.

10-key.

• Proven ability to work within an organization emphasizing teamwork and excellence.

• Dependability and punctuality a must.

Must show compassion and support/appreciation for hunger issues with a strong commitment to our mission.
