Event Coordinator

The Event Coordinator is responsible for the management and coordination of all large Lost & Found Grief Center events. 


Some of the events include: 


Evening of Hope, Run & Remember, Golf Fore Hope and Game Day.

This person will also manage event social media content and provide oversight and leadership for the Junior Board. This position will work closely with the Executive Director, Director of Development, Marketing Coordinator, Board Development Committee, and event volunteers.

Qualifications:

· Bachelor’s Degree recommended but not required, with experience in event management, public relations, or a related field

· Minimum 1-3 years’ experience in event planning

· Reliable transportation to event sites and attend functions, as needed

· Demonstrated ability to plan and execute successful events, in line with established fundraising priorities

· Demonstrated ability to work collaboratively with all constituent groups, including staff, board members, volunteers, donors, media, and other supporters

· Demonstrated leadership skills to lead diverse groups

· Must be a strong presenter in front of large and small audiences

· Must have strong verbal & written communication skills, as well as strong organizational skills – especially time management and attention to detail

· Proficient skills in a variety of computer programs and technology, including Microsoft Excel, Word and Power Point, experience with Donor Perfect, ReadySetAuction, and Canva, a plus

· Ability to multitask and prioritize

· Must be flexible and adaptable to changing tasks and timelines

· The ability to stand and or/sit for long periods of times

· Ability to lift, carry, or pull items up to 50 pounds. Climb ladder/stairs, reach and lift items above shoulders, bend at the waist and lift items off the ground

· Good sensory motor skills such as: hearing and seeing to ensure events are set up effectively

 

Job Responsibilities and Duties:

Public Relations

· Work with Executive Director and Director of Development to distribute all print and electronic materials to solicit event sponsorships effectively and publicize each event

· Develop a network of relationships with community leaders, businesses, donors, nonprofit organizations and potential sponsors within Springfield and surrounding areas

· Work with Program staff and Director of Development to create social media content to enhance the outreach of Lost & Found programs and services

 

Events

· Provide leadership and oversight for Lost & Found events, including planning, budget development, implementation, and follow-up

· Coordinate all event logistics, including publicity, procurement of event materials, and coordination with event contractors

· Manage all aspects of volunteer committees and volunteer coordination, including but not limited to, staffing, recruitment, supervision, training, and acknowledgement

· Utilize auction software for efficient tracking of event information

· Staff and provide leadership to each event committee

· Provide evaluations of existing events and recommendations for future events

· Maintain accurate and detailed records and data for each event

· Help secure and organize details, including volunteers, for all 3rd party fundraising events

· Effectively communicate with Executive Director on event progress, needs and goals

 

Board

· Attend and participate in the Board Development Committee meetings and activities, as needed

· Coordinate meetings and provide leadership to the Junior Board

· Develop and maintain relationships with professionals in the community

 

General

· Other duties as assigned

Work Setting:

Must be able to function harmoniously in a small non-profit organization as part of a multidisciplinary team. Must acknowledge and adhere to Lost & Found Grief Center’s confidentiality policy & procedures.
